Every list works the same way

Searching, filtering, choosing columns, and opening a record to edit it.

Customers, invoices, stock items, purchase orders — they all open as a list, and every list works identically. This guide covers it once so the individual guides do not have to repeat it.

Find the record you want

  1. Type into the search box above the list. It matches on the things you would expect — a name, a code, a reference number.
  2. Narrow it further with Filters if searching is not enough. Filters differ by screen: a status, a date range, a customer.
  3. Click a column heading to sort by it. Click again to reverse it.
  4. Click the row to open the record.

Change what the list shows

  • Pick your columns. Columns lets you switch columns on and off. Your choice is kept for you alone, so a colleague's view is unaffected.
  • Reorder them. Drag a column heading sideways. Also remembered for you.
  • Show more rows at once. The page-size control sits under the list, beside the page numbers.

Add a record

  1. Click Add at the top right of the list. Some screens name the button after the thing you are adding.
  2. Fill the form in and save it. You come back to the list with the new record in it.
CtrlN does the same thing as clicking Add, from anywhere on the list.

Open, edit or act on one row

  1. Click anywhere on the row to open it for editing.
  2. For anything else, use the button at the end of the row. What appears there depends on the screen — editing, deleting, switching a record off, printing.

An action you are not allowed to use is still listed, but greyed out, with the reason when you hover over it. That is deliberate: it tells you the action exists and who to ask, instead of leaving you wondering whether you are looking in the wrong place.

When something is not there

  • If the list is empty but you know records exist, it means a search term or a filter is still applied. Clear the search box and check Filters.
  • If a record you switched off has vanished, it means the list hides inactive records by default. Use Filters to include them.
  • If you can see fewer records than a colleague, it means your account is limited to your own documents, or to certain outlets. Both are set by whoever runs your workspace.
