Working in more than one currency

Switching on the currencies you trade in, and how exchange rates are handled.

If you buy or sell in a currency other than your own, switch that currency on once and it becomes available on every document. Your own currency stays the one your reports are in, whatever else you trade in.

Two kinds of currency

  • Your own currency — shown as Base Currency on System ManagerCompany Profile. Every report, total and approval threshold is in this one. It is set when the workspace is created and read-only afterwards.
  • The currencies you trade in — anything you switch on in System ManagerCurrency Setting. A document in one of these records both the foreign amount and its value in your own currency.
Your own currency cannot be changed later. It is fixed at the point the workspace is created, because every figure already recorded is expressed in it. If it is wrong, that is a conversation to have before you start trading, not after. Needs Multi-Currency on your plan

Switch a currency on

  1. Open System ManagerCurrency Setting.
  2. Pick the currency you want under Add Currency. Type a few letters to find it.
  3. Click Enable.

It appears in the enabled list and can now be chosen on any document, on a customer, or on a supplier.

Use it on a document

  1. Open the document and pick your customer or supplier. If they have a currency on their record it is filled in for you, which is usually what you want.
  2. Otherwise pick the Currency yourself.
  3. Check the exchange rate. It is filled in from the published rate for the document date; type over it if you have agreed a different one with them.
  4. Enter your prices in the foreign currency. The value in your own currency is worked out alongside.
  5. Confirm as normal.
The rate is fixed to the document once you confirm it. Later movements do not rewrite history — which is why a payment received months later can produce an exchange gain or loss, and why that is correct rather than an error.

Getting paid in a foreign currency

Record the receipt or payment in the currency the money actually moved in, and match it to the invoice as usual — see Receipts. The gap between the invoice's rate and the payment's rate is recorded for you as an exchange gain or loss.

At period end, Cash BookCurrency Revaluation restates whatever is still outstanding at the closing rate.

Switch a currency off

  1. Open System ManagerCurrency Setting.
  2. Click Disable on the row.

It stops appearing when you pick a currency on anything new. Documents already recorded in it are untouched and still report correctly.

Switching a currency off is not a way to undo it. Everything already recorded stays, so if you enabled one by mistake and have not used it, disabling it is all you need — and if you have used it, disabling it is still safe.

What can stop you

  • If System ManagerCurrency Setting shows a padlock or is missing, your plan does not include trading in more than one currency. Needs Multi-Currency on your plan Anything you had already recorded in a foreign currency keeps working and reporting.
  • If you cannot disable a currency, it is your own Base Currency. That one is always on.
  • If a currency does not appear in a picker on a document, it has not been switched on yet.
  • If a customer's invoices do not show up when you record a receipt, they are in a different currency from the one selected. Change Offset Currency rather than starting again — see Settling a document in a different currency.
  • If the exchange rate comes through blank, no published rate is held for that date. Type the rate you used — a rate you entered is always kept in preference to a looked-up one.
  • If a foreign-currency document refuses to change, a revaluation or a settlement may have been recorded against it. See Why can't I edit or delete this?
