Company Profile

Your business details, logo and tax registration — what appears on every document.

Your company profile is the business's own record: name, address, registration numbers and logo. It is what appears at the top of every document you send, so it is the first thing worth filling in.

Fill in your details

  1. Open System ManagerCompany Profile.
  2. Type your business Name exactly as it should appear on an invoice.
  3. If you are Singapore-registered, type your registration number and use the retrieve button — your registered name and address are filled in for you.
  4. Check the address, Postal Code and Country.
  5. Add your tax registration number if you are registered for tax. This has to be present before you can charge tax on an invoice.
  6. Add a contact Email and phone number for customers to reply to.
  7. Click Save Changes.
Changing these details changes what appears on future documents. Anything already sent keeps what it was created with, which is correct — a reissued invoice should not silently change its own letterhead.

Add your logo and signature

  1. Open System ManagerCompany Profile.
  2. Drag your logo onto the logo box, or click it to browse. A PNG with a transparent background sits best on a printed document.
  3. Add a signature image if you want documents signed without printing them.
  4. Click Save Changes. The logo appears immediately, including in the menu.

Switch features on and off

A few workspace-wide choices live here rather than in their own screen.

  • Record sign-ins. Keeps a log of who signed in and when. Needs Authentication Logs on your plan
  • Record changes. Keeps a log of who changed which record. Needs Action Logs on your plan
  • Hide city and state on printed documents, for addresses where those lines add nothing.

Each takes effect as soon as you save.

Activate electronic invoicing

To send invoices over the InvoiceNow network rather than by email, you activate it from the InvoiceNow section of this screen. There are two separate activations — the network, and the channel that copies your data to the tax authority. The second is authorised in Corppass, from a link emailed to the address registered with InvoiceNow, rather than from a button on this screen.

Needs InvoiceNow on your plan Once a document has gone out over the network it can never be unlocked or deleted, because the copy your customer received cannot be recalled. Correct it with a credit note instead.

What can stop you

  • If saving is refused because the registration number already exists, another workspace has registered the same number. Get in touch rather than working around it.
  • If you cannot charge tax on an invoice, your tax registration number is missing here.
  • If the logo boxes are not shown, your plan does not include a custom logo. Needs Company Logo on your plan
  • If the whole screen is unavailable, your role does not include the company profile. See Inviting your team.
  • If activation for electronic invoicing is rejected, the details you hold do not match the official register. See Activating and deactivating InvoiceNow.
