An Order Cancellation means the agency has called off an order. A cancellation always covers the whole order. Once you receive it, the sales order is cancelled and there is nothing left to deliver or invoice.
Receive a cancellation
- Make sure the order itself has been received first.
- Open InvoiceNowInbox and click Review on the Order Cancellation.
- Read the agency's Cancellation Note, if it gave one.
- Click Receive.
What happens to the sales order
- It is cancelled. Its status becomes Cancelled, and it can no longer be changed, delivered or invoiced.
- The reason stays with it. The agency's note shows at the top of the sales order, in a Cancellation Remarks box.
- No invoice is needed. Nothing was supplied, and there is nothing to bill.
- Undoing it. If the cancellation was received by mistake, Reopen on the sales order puts it back to Confirmed. Only do this once the agency has confirmed the order still stands.
Cancelling only some lines
An agency that wants to drop some lines but keep the rest sends an Order Change, not a cancellation. The lines it drops show To be deleted when you review the change. See What happens to the sales order.
If you have already delivered or invoiced
If any delivery order or invoice has been made from the sales order, even a draft, receiving the cancellation fails with "This order has already been delivered or invoiced; respond to the buyer instead of cancelling it."
- The delivery order or invoice was a draft made by mistake. Delete it, then click Retry on the cancellation and receive it.
- Goods or invoices have really gone out. Contact the agency and agree what happens to them. To take back an amount already billed, raise a credit note. See Taking goods back and crediting a customer. Once you have agreed, click Drop on the cancellation.
What can stop you
- The cancellation fails because its order is not here yet. The message names the agency's PO number and ends "Receive the order first." Receive the order, then click Retry on the cancellation.
- Your role cannot update sales orders. Receiving a cancellation changes a sales order. If you see "You do not have permission for this action." ask an administrator to allow updating sales orders.
